Job Summary:
The Administrative Assistant will provide administrative support to the WASH team and other departments within the GrowthAid Organisation. This role involves managing office tasks, coordinating activities, and ensuring effective communication and documentation to support the organization’s mission of improving water, sanitation, and hygiene conditions.
Key Responsibilities:
Office Administration: Manage office supplies and inventory, handle incoming and outgoing communications, including phone calls, emails, and mail, Maintain and update filing systems, both electronic and paper based, Prepare and organize documents, reports, and presentations.
Event and Meeting Coordination: Schedule and coordinate meetings, workshops, and events related to WASH projects, prepare meeting agendas, take minutes, and follow up on action items, Organize travel arrangements for staff and visitors.
Support to WASH Programs: Assist with the preparation and monitoring of project documentation and reports, Support data collection and analysis related to WASH activities, Help organize field visits and community outreach activities.
Financial and Budgetary Support: Assist with the preparation of financial reports and budgets, Process invoices, expense reports, and other financial documents, Maintain records of financial transactions and support auditing processes.
Communication and Liaison: Facilitate communication between the WASH team and external stakeholders, partners, and community members, assist in drafting correspondence and reports for internal and external use, Maintain up-to-date contact lists and databases.
Project Support: Provide logistical support for project implementation, Help track project progress and deadlines, assist with the preparation of data required for project proposals and funding applications where need arises.
General Support: Perform other administrative duties as assigned by the supervisor, Support the onboarding and orientation of new staff and volunteers, Ensure compliance with organizational policies and procedures.
Qualifications:
Education: Diploma or equivalent in business administration, Social work, development Studies or any other related field.
Experience: Previous administrative experience, preferable in the NGO world is required.
Skills:
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Familiarity with WASH issues and basic understanding of project management is a plus.

Working Conditions:
